⚡️ First steps for new admins

1) Send information to mentors and mentees using your organization e-mail address.

Share some details about the platform.

SAMPLE :

Dear mentor/mentee,

You will receive an email from our mentoring platform to complete your mentor/mentee profile.

Please check your inbox or other folders.


2) Edit your branding


  • Go to the "Prg.Settings" page from the left menu.
  • Click on the logo or cover and upload the JPG or PNG file.
  • 500x500px for the logo, and 1500x500px for the cover image are recommended.

3 ) Define the content that your mentors and mentees will see on your program when they signup.

  • Go to Prg. Settings Page and then "New User Onboarding" tab.
  • Edit your program terms using "Policies of The Program" section.
  • Write your "welcome" messages and "completion" message for your mentors and mentees.

4 ) Define your custom profile fields ( Additional info) if you need.

  • Normally, we need only first name, last name and e-mail to import mentors and mentees to the platform.
  • You may define more columns (e.g. location, school, department, hobbies) if you want to use as a data.
  • Please find "Additional Info" button on the mentors page. ( Top-right)
  • It's possible to different fields for mentors and mentees.

5 ) Add your mentors and mentees to the program

  • Go to the "Mentors" and "Mentees" page to add users.
  • Click "Add Mentor" button is located at the top-left on the "Mentors" page.
  • It's possible to add all the mentors using an Excel file.
  • Please download the "Sample File" and fill it to upload.
  • Please don't delete or edit the titles of the Excel table.

6 ) Let mentees select mentors

  • Go to the "Pairs" page.
  • Click "Matching Settings" button.
  • Switch the "Selection is on" mode to enable mentor selection.

Info :

List all meetings on the program without a filter.

Mentors :

Add, remove or sort mentors. Define additional info columns.

Mentees :

Add, remove or sort mentees. Define additional info columns.

Calendar :

List time slots of all mentors.

Feedback :

Design your meeting questions

Pairs :

Pair mentors and mentees.

Announcements :

Send updates to mentors and mentees. You may also use announcements to provide a knowledgebase. Mentors and mentees will reach out to your announcements on their homepages. It's possible to send announcements to everyone by email notifications.

Reports :

Check all details, engagement and meetings by reports.

Forms :

Publish surveys, forms and get responses.

Prg. Settings :

Add admins, edit program content, define meeting creation rules, onboarding messages and page view permissions.

How to define feedback questions?
  • Go to the "Feedback" page
  • Click "Feedback Questions" tab
  • You can create different questions for mentors and mentees
  • Users will reach out to questions after the meeting.
  • You can check responses on the "Feedback Responses" tab.

How to let mentees select mentors or send requests to mentors ? 
  • You can make mentor selection feature enable or disable.
  • Go to the "Pairs" page and then click "Matching settings" button on the admin portal
  • Default settings : Selection mode is on. Mentees send request and mentors approve mentees.
What is the process for admins, mentors and mentees for this model ?

This is a freestyle and selective mentoring program model

Mentees send requests and mentors approve mentees.

Paired mentors and mentees can create meetings.


Admins may define feedback questions.

It's possible to provide different questions for mentors and mentees.


Mentors schedule meetings

Mentors may also provide time slots and mentees book meetings.

How to track mentoring program as an admin ?

Reports Page

You may reach out to the analytics of your mentors and startups by total meeting, engagement and status.


Activities Page

Track live activities of your mentors and startups.

e.g. New time slots, meetings, cancellations, meeting notes ...


Feedback Page

Track meetings based on mentor/mentee responses.


On The Mentors And Mentees Page :

Sort users by last meeting and last login date.

So you can understand who are the most active mentors and entrepreneurs.


How to sort mentors?

  • Go to the mentors page
  • Click on "Hide Fields" button that located at the top-right.
  • Make "Last Meeting, Last Login and Last Availability" columns visible.
  • Sort mentors based on columns.
How to send invitations to users later ?

It's possible to add users to the platform without sending invitations.

You may send invitations later. ( Whenever you need it. )

You can resend the invitations to users look like "Not invited" or "Invited"

  • Select mentors or mentees using checkboxes.
  • "Send Invitation" button will appear on the top if you select a user.

What are the capabilities of admins ?

Tracking/Browsing Capabilities

Admins can track these activities of mentors and mentees :

  • Scheduled meetings of mentors and mentees.
  • Details of the profiles.
  • Meeting notes ( Private or Visible )
  • Responses of forms.

Admins can not see direct messages only.

All other activities are visible for admins.


Operation Capabilities

Admins can make these operations for mentors and mentees :

  • Editing profile images of *mentors that haven't accepted the invitation yet.
  • Adding/editing/blocking time slots of mentors.
  • Creating/editing/canceling meetings on behalf of mentors and mentees.
  • Creating/editing/deleting additional info of mentors and mentees.
  • Making the status of the mentors passive.

* Profile photo of the mentors who have accepted their invitation can only be updated by the mentors.

How to suspend mentors without deleting them ?
  • Go to mentors page via left menu.
  • Click on the pencil icon to switch the editing mode.
  • Change the status of the mentor make it passive.
