All About To Manage A Mentoring Program For Groups

What are the first steps for program admins ?

1) Send information to mentors and entrepreneurs using your organization e-mail address.


  • You may use and edit the samples below.
  • Write your Mentornity program domain where indicated by (*).

2) Give your program page an appropriate look to your branding

  • Go to the "Info" page from the left menu.
  • Click on the logo or cover and upload the JPG or PNG file.
  • 500x500px for the logo, and 1500x500px for the cover image are recommended.

3 ) Define the content that your mentors and mentees will see on your program when they signup.

  • Go to Prg. Settings Page and then "New User Onboarding" tab.
  • Edit your program terms using "Policies of The Program" section.
  • Write your "welcome" messages and "completion" message for your mentors and entrepreneurs.

4 ) Define your custom profile fields ( Additional info) if you need.

  • Normally, we need only first name, last name and e-mail to import mentors and entrepreneurs to the platform.
  • You may define more columns (e.g. location, school, department, hobbies) if you want to use as a data.
  • Please find "Additional Info" on the mentors page. ( Right-Top)
  • Click on the blue wheel icon to display editor.
  • It's possible to different fields for mentors and mentees.

5 ) Create your feedback questions

  • You may get feedback from mentors and entrepreneurs after the meetings.
  • Go to the "Feedback" page to define your questions.
  • Mentors and entrepreneurs can not see questions/answers each other.
  • Users will reach out to the feedback questions after the meeting time.
  • Responses will be listed on the admin feedback pageç
  • You may also download responses as an Excel file.

6 ) Add your mentors and entrepreneurs to the program

  • You may use "Mentors" and "Entrepreneurs" page to add users.
  • "Add Mentor" is located at the top-left on the mentors page.
  • You may add your entrepreneurs on the "Entrepreneurs" page.
  • It's possible to add all mentors and mentees using an Excel Sheet.
  • The titles should be Name, Surname and Email on the Excel file. (Exactly)
  • You can use an excel file mentioned above. ( If you didn't add any additional info to the mentors or mentees)
  • Please use our generated "Sample File" if you added some additional fields to the profiles.
  • Please don't delete the titles of the table.

7 ) Pair mentors and startups

  • Go to the "Pairs" page
  • Use ( + ) buttons to select a startup.
  • Type startup names to pair
How to use left menu ?

Home :

Complete checklists and quick tips about your program.

Info :

Update your program cover and logo.

Activities :

List latest activities of mentors and startups.

e.g. New meetings, cancellations, meeting notes, ...

Meetings :

List all meetings on the program without a filter.

Mentors :

Add, remove or sort mentors. Define additional info columns.

Mentees :

Add, remove or sort mentees. Define additional info columns.

Groups :

Add, remove or sor groups. Define tags.

Calendar :

List time slots of all mentors.

Feedbacks :

Add feedback questions, list or download responses.

Announcements :

Send updates to mentors and mentees. You may also use announcements to provide a knowledgebase. Mentors and mentees will reach out to your announcements on their homepages. It's possible to send announcements to everyone by email notifications.

Reports :

Check all details, engagement and meetings by reports.

Forms :

Publish surveys, forms and get responses.

Prg. Settings :

Add admins, edit program content, define meeting creation rules, onboarding messages and page view permissions.

What is the process for admins, mentors and groups?

Only paired groups and mentors can see each other on the group mentoring programs with pairing feature.


Mentors provide time slots to book by groups.

Or mentors create meetings with groups. ( Without time slots)


Meetings take place face to face or online.

After the meetings, mentors and groups provide feedback.

How to track mentoring program as an admin ?

With Reports Page :

You may reach out to the analytics of your mentors and groups by total meeting, engagement and status.


With Activities Page :

Track live activities of your mentors and groups.

e.g. New time slots, meetings, cancellations, meeting notes ...


On The Mentors And Mentees Page :

Sort users by last meeting and last login date.

So you can understand who are the most active mentors and mentees.


How to sort mentors?

  • Go to the mentors page
  • Click on "Hide Fields" button that located at the top-right.
  • Make "Last Meeting, Last Login and Last Availability" columns visible.
  • Sort mentors based on columns.
How to send invitations to users later ?

It's possible to add users to the platform without sending invitations.

You may send invitations later. ( Whenever you need it. )

You can re-send the invitations to users that "not invited" or haven't accepted the invitation yet.

  • Select mentors or entrepreneurs using checkboxes.
  • "Send Invitation" button will appear on the top if you select a user.

Mentors and mentees receive emails if you invite them to the program.

What are the capabilities of admins ?

Tracking/Browsing Capabilities

Admins can track these activities of mentors and entrepreneurs :

  • Scheduled meetings of mentors and entrepreneurs.
  • Details of the user/startup profiles.
  • Meeting notes ( Private or Visible )
  • Responses of forms and feedback questions

Admins can not see direct messages only.

All other activities are visible for admins.


Operation Capabilities

Admins can make these operations for mentors and entrepreneurs :

  • Editing profiles images of *mentors that haven't accepted the invitation yet.
  • Adding/editing/blocking time slots of mentors.
  • Creating/editing/canceling meetings on behalf of mentors and startups.
  • Creating/editing/deleting additional info of mentors and mentees.
  • Creating groups and adding mentees to the groups.
  • Making the status of the groups or mentors passive.

*Profile photo of the mentors who have accepted their invitation can only be updated by the mentors.

How to edit skill tags of the program ?

Please contact us if you want to add new tags to the default list.

You may also remove the default skill tags section completely and then create your section with your skill tags :


  • Go to the Prg. Settings page and then the "Display" tab to make the default skills section hidden.
  • Remove the checkboxes of "Skills" from the mentors and mentees.
  • And then go to the "Mentors" page via the left menu.
  • Create a "Multiple Choice" field using "Additional Info" settings.
  • You may add the skills that you need.
  • Repeat the same editing for the entrepreneurs. ( If you need)
How to make mentors/mentees see each other or not ? How to hide mentees from other mentees.
  • Go to the Prg. Settings page and then Privacy tab.
  • Change the page view settings.
How to suspend groups without deleting them ?
  • Go to startups page via left menu.
  • Click on the pencil icon to switch the editing mode.
  • Change the status of the group to make it passive.
  • The team members of a group which is passive can login the platform but they can not see anything on the page.
