What is "Structured Mentoring?"

Structured Mentoring is a mentorship approach that organizes the mentor-mentee interaction around a series of predetermined topics for each session.

This model ensures that each meeting has a specific focus, with the overarching goal of the sessions to build upon each other, enhancing the overall program coherence and effectiveness.

While the structure outlines the primary subjects to be covered, it also allows for flexibility, enabling mentors and mentees to explore additional topics as they arise in conversation.

A key component of structured mentoring programs is the review process, which involves evaluating the content of the meetings and completing meeting forms.

This structured approach aims to provide a more focused and goal-oriented mentorship experience, while still accommodating the dynamic nature of mentor-mentee relationships.

What is "Group Mentoring?"

Group mentoring is a method where mentees always meet with their mentors in a group setting.

In group mentoring programs, mentees are members of a group, and meetings are conducted between the group and the mentee.

If a mentor or mentee schedules a meeting, that meeting is created for the group. All members of the group are expected to attend that meeting.

When a meeting is scheduled, approval from group members is not required.

Therefore, it is important for mentees who want to schedule a meeting for their group to communicate with other group members in advance.

When a meeting is created, all group members receive a calendar invitation, and all members of the group can access the meeting page and take meeting notes.

Everyone in the group is equal.

How to provide time slots? (Availabilities for groups)

Select 'My Availabilities' from the left-side menu.

Utilize 'Weekly Availabilities' to set recurring weekly time slots.

For time slots on specific dates, use 'Availabilities For Specific Dates.'

Please ensure your Zoom, Google Meet, or MS Teams accounts are connected before adding time slots.

If you prefer to use Jitsi Meet for your meetings, connecting video accounts is not necessary.

To connect your video or calendar accounts, navigate to the Integration Settings page via the menu at the top right."

How to schedule a meeting?

Check the 'My Pairs' section on the homepage.

Click on a group name to access the group's profile.

Use the '+Schedule' button to set up a meeting for a session.

Additionally, you can add your availability, allowing groups to book a free time slot with ease.

Meeting invitations do not require approval."

How to cancel a meeting?

Navigate to the meeting page through the homepage or the group's profile page.

For past meetings that did not occur, click on 'Didn't it take place?'

For upcoming meetings you wish to cancel, click on 'Cancel.'

How to join a meeting ?

Navigate to the meeting page through the homepage or the group's profile.

Alternatively, check your email inbox for meeting links.

This is a group meeting, and all members receive identical email notifications.

For online calls, you can join Zoom, Google Meet, MS Teams, and Jitsi Meet sessions by clicking on the blue links available on the homepage."

How to connect my Google, Outlook, or Office365 Calendar ?

How to connect my Microsoft Teams account?

Left Menu > Profile & Settings > Calendar & Video Integrations

Connect your Microsoft Teams account.

Microsoft Teams supports workplace or school accounts.

If your workplace or school wants to approve integrations with third-party applications, a request for approval might be sent to your workplace or school's Microsoft account manager when you connect your account.

Alternatively, you might need to forward this request for approval to the Microsoft manager yourself.

In this way, every request to connect an account is completed with the approval of a Microsoft administrator.

If many people from your organization (company) want to connect their Microsoft account, it would be more efficient if your organization's Microsoft administrator first joins the program and connects their account, so they don't have to approve every user's request individually.

How to connect my Google Meet account?

Left Menu > Profile & Settings > Calendar & Video Integrations

To connect your Google Meet account, simply connect your Google Calendar account.

By doing so, you also connect your Google Meet account, making Google Meet appear in the options for meeting methods.

How to connect my Zoom account?

Left Menu > Profile & Settings > Calendar & Video Integrations

By doing so, you also connect your Zoom account, making Zoom appear in the options for meeting methods.

How does Jitsi Meet work? How to Join Jitsi Meet calls?

Jitsi Meet is a free and open-source video conferencing platform.

To use Jitsi Meet for your meetings, all you need to do is select Jitsi Meet as your meeting method; there's no need to connect your account beforehand.

If you see a message like "waiting for the moderator" on a Jitsi Meet video call page, ignore it.

Click on the login button and authenticate yourself using your Facebook, Google, or GitHub account.

After this, the waiting for the moderator pages will open directly without waiting, and those who join the meeting page after you will not need this confirmation to participate in the meeting.

In Jitsi Meet, there's actually no moderator role. The first person to enter the meeting can perform this confirmation, whether they are a mentor or mentee doesn't make a difference.

Jitsi Meet is an independent third-party software, separate from Mentornity. There is no collaboration between Mentornity and Jitsi Meet, nor is it a product of Mentornity. It is an application similar to Zoom.

How do calendar integrations work?

When you connect your Google Calendar with the mentoring platform, each of your meetings is automatically added to our Google Calendar.

When there is an external meeting in your Google Calendar, the hours corresponding to that meeting are removed from your available time slots.

When creating a meeting on the mentoring platform, your Google Calendar is checked.

The same experience applies to your Outlook.com and Office365.com calendars as well.

Matching

⚡️ QUICK TIP : In this program, admins are responsible for pairing mentors and mentees.

Note that different mentoring models may employ various matching methods.

How to match with groups?

In this program, administrators match mentors with groups.

You may have a match from the moment you start the program, or administrators may match you later.

On the homepage, in the "My Pairs" section, you will see the group you are matched with.

If you do not have a match, please contact the program manager.

How to contact mentees? (Group members)

Direct Message:

Navigate to the group's profile page, select a mentee to visit their profile, and then click the "Send Message" button.

Meeting Notes:

Take notes during the meetings on the meeting pages. These notes will be automatically emailed to the group members.

Email and Phone:

Access a mentee's contact details by clicking on their profile image.
